The Administrative Assistant reports to the Church Administrator.  Must be a person of genuine Christian character who presents a positive attitude consistent with the love of Christ, and demonstrates a real love and concern for people. Must understand the administrative assistant role, and be willing to comply with the policies and procedures as a staff member at St. Paul Baptist Church.

Office Duties

• Answers and manages incoming phone calls.
• Assists the Church Administrator as instructed.
• Greets disciples, visitors, and vendors and directs them appropriately.

• Creates reports and other information for senior pastor as requested.
• Enters new disciples’ personal information into ACS People Suite (online church management software).
• Performs weekly checks in ACS People for disciples' change requests and makes necessary changes.
• Manages calendar by adding events after approval from Church Administrator or by deleting events when necessary.
• Adds names or groups to ChurchCast (rapid notification system) to enable communication and connection with disciples through voice calls, emails and text messaging when requested.
• Updates existing or former disciples’ records as needed in ACS People and ChurchCast.
• Creates or deletes ministry leaders' login information in ChurchCast and copiers when leadership changes occur, and provide instructions to new leaders on how to operate the platform.
• Monitors office equipment and supplies periodically to ensure inventory is available and equipment is functioning properly.  Submit requests for supplies and place service call requests when necessary.
• Updates baptism candidates’ records in ACS People to reflect the date of their baptism.
• Assists families with planning funerals in the absence of our executive pastor.
• Orders flowers for funeral services of disciples or family members of disciples as needed.
• Prepares and mails offering envelopes to existing disciples per their request.
• Provides annual approved budget totals to ministry leaders.
• Performs notary services for the church.

• Must have knowledge of ACS People Suite, Facility Scheduler, Access ACS, ChurchCast or be willing to learn.
• Must be capable of performing office duties and have a knowledge of office equipment.
• Must be able to type, use a multi-line phone system and use a computer.
• Must be consistent and prompt in answering emails/phone calls in a timely manner.
• Must have the ability to interact with disciples, guests, and staff in an enthusiastic manner that is helpful, courteous, pleasant, and professional.
• Must be dependable and trustworthy.
• Must be discreet, tactful, and capable of honoring confidential communications.
• Must be respectful, and display professionalism when confronted by diverse types of personalities, both via phone and in person.
• Must be timely, flexible and able to multi-task.

St. Paul Baptist Church is a multi-generational church located near Uptown (downtown) Charlotte, North Carolina, in the heart of the Belmont neighborhood.
