The Administrative Assistant to the Clergy provides support to Senior and Associate Pastors in a wide range of activities in the performance of organizational and ministerial responsibilities. Duties include clergy support, outreach relations, volunteer recruitment, while serving as the point of contact for internal and external constituencies.

Along with Cypress MC pastors and his/her fellow staff members, the Administrative Assistant to Clergy and Worship Ministries will personally support Cypress MC’s CALLING to Build bridges and create community that connects people to Jesus’ life-giving story. QUALIFICATIONS
Demonstrated Christian faith and commitment to ongoing personal, professional and spiritual growth.
A heart for worshipping God; a follower of Jesus Christ.
Able to work in team settings and take directions.
Exceptional verbal and written communication skills.
Outstanding work ethic including strong attention to details and the ability to be flexible, highly organized, innovated, creative, while maintaining confidentiality.
Proficient in Microsoft Office products including Word, Excel, Outlook, Power Point, as well as Planning Center.
Fully support the mission, calling, core values, and worship philosophy of Cypress Methodist Church.
ESSENTIAL FUNCTIONS
Provide administrative support to the senior pastor and associate pastors including maintenance of appointment calendars.
Coordinate on call calendar, hospital or home visits with clergy, and collaborate with Holding Hands Ministry for pastoral care support.
Provides initial assessment of benevolent requests through intake, vetting of information provided, and acceptance of required documentation while ensuring compliance with Helping Hands policy.
Oversees pre- and post-meeting activities for a variety of meeting venues (Staff meetings, Board of Stewards) including planning, minutes, and the issuance of meeting recaps and action items to appropriate attendees.
Manage special projects assigned by clergy communicating with ministry areas the project needs and directives.
Coordinate events hosted by clergy office communicating with ministry areas the event needs.
Communicates via voice, email, or other means of correspondence in response to phone calls and messages, emails, and general correspondence on behalf of the church and clergy as appropriate.
Coordinates funerals, weddings, and baptisms from initial client contact to execution of event, managing details under the direction of the Senior Pastor.
Recruits, schedules, trains, and oversees the office volunteers maintaining desk coverage during established business hours.
Manages front office activities.
Performs all other tasks as assigned by the Senior Pastor.
Coordinates worship support activities by establishing a strong volunteer base and developing solid teams to carry out activities such as ushering, greeting, serving communion, procurement,
preparation, and disbursement of communion elements.
Provide worship and rehearsal supplies as needed.
Attend and participate in weekly Worship Meetings, monthly staff meetings, and other ministry related meetings as needed.
SUPERVISION, WORK SCHEDULE, and POSITION STATUS
Reports To: Senior Pastor
Ministry: Pastoral Ministries
Work Days: Sunday – Thursday; includes occasional evenings and weekends.
