The All Souls Church (ASC) Church Administrator is a member of the Executive Team made up of the Senior Pastor and Pastor of Worship and the Arts. In this role, she/he is accountable for the day-to-day activities associated with church administration, including but not limited to infrastructure, accounting, personnel, and communications platforms and processes. This position is accountable to the Shepherding Team and operates independently as a staff member. The Church Administrator provides administrative support to the Shepherding Team and other people and entities as assigned. The Church Administrator fosters effective relationships, models hospitality, represents the church in a professional manner, and seeks out personal and professional development through networking and trainings relevant to the position.
The Church Administrator manages the contracts, vendors, systems, and processes associated with Infrastructure, Accounting, Personnel, and Communications Platforms and Processes.
The Church Administrator builds, leads, and shepherds individuals and teams that serve in the areas listed.
The Church Administrator carries out administrative and technical tasks associated with the areas listed.
The Church Administrator serves as a member of the Executive Team and the Shepherding Team.
Manages contracts, vendors, systems, and processes
Ensures proper management and maintenance of church property
Manages all contracts with outside vendors
Serves as primary liaison between ASC and all tenants regarding day-to-day operations and contract fulfillment
Facility usage policy
Federal, state, and local regulatory requirements
Provides oversight to safety/security policies and programs
Maintains all insurance policies associated with the church
Works with the Treasurer and other executive-level staff to develop a budget and provide regular reporting
Manages purchasing and cash flow processes
Maintains accurate financial records
Provides accurate and timely charitable giving statements to members
Follows sound financial protocols
Oversees all offering processes; mail, online, in-person
Works with the Personnel Committee chair to ensure sound practices related to employees and independent contractors
Processes payroll for all employees and contractors
Maintains confidential personnel records
Coordinates employee hiring, benefits, and termination processes
Processes criminal background screens on all new employees and on volunteers who interface with children and youth
Communications Platforms and Processes
Provides oversight of major communication platforms (website, newsletter, special mailings, email, social media) and communication processes
Administers the logistics for Pilgrimage, Collaborative Communication, and other church programs as assigned by Shepherding Team
Updates and maintains church directory
Leads individuals and teams
Recruits, schedules, and shepherds volunteers to serve as leaders and team members tasked with administration / operations functions
Provides information, training, and communications
Administrative and Technical Tasks
Manages storage of and retention for church records and official documents
Keeps the master church calendar and ensures that the calendar has no scheduling conflicts
Maintains office equipment and office supplies
Picks up and takes appropriate action on all mail received
Serves as a member of the Executive Team, which also includes the Senior Pastor and Pastor of Worship and the Arts. Collaborates effectively in pursuit of the ASC Ends.
As it relates to the Church Administrator role, provides reasonable interpretation of the means by which ASC Ends are achieved. Provides regular monitoring reports as required by the Shepherding Team.
Looks for opportunities to ‘speak’ to the congregation about the ministry of place and physical space
Contributes to annual letter to the congregation, collaborating with other Executive Team members; coordinates the production and distribution of the letter
Participates in required training (Pilgrimage, Policy Governance, Collaborative Communication)
Serves as an ex officio member of the Shepherding Team; participates regularly in meetings of the Shepherding Team

Required Knowledge, Skills, and Abilities
High degree of initiative and ability to independently prioritize tasks and projects
Excellent interpersonal and leadership skills
Strong verbal and written communication skills
Attention to detail
Excellent record keeping abilities
Strong technological abilities and knowledge of relevant computer programs, such as Quickbooks Online, Google Suite, Planning Center, EasyTithe, and MailChimp
Able to operate standard office equipment
Knowledge and skills necessary to perform accepted accounting practices
Ability to work collaboratively with staff and board members and to coordinate the work of volunteers
Ability to maintain confidentiality in all aspects of position
Working knowledge of and support for the church’s governance policies, mission statement, beliefs, and commitments
Able to maintain a clean background screen
Strongly preferred: Becomes an active member/worshipper at ASC
Education and Experience
Associate’s degree in business or accounting or equivalent training and experience
3-5 years of experience working in a church office or similar office environment
Demonstrated experience managing property and related infrastructure
Certified Church Administrator designation from the National Association of Church Business Administration highly desirable
