JOB SUMMARY - Assists the church in carrying out its mission by planning and implementing effective organizational and fiscal processes across all campuses to achieve its goals.
- Provides day-to-day leadership to five (5) direct reports in the operational areas of Accounting & Analytics, Facilities, Security, IT, and Office Management.
- Holds regular meetings with operations staff for the purposes of brainstorming, planning, delegating, scheduling, coordinating, problem-solving, and decision-making.
- Regularly evaluates and coaches direct reports performance and growth.
ESSENTIAL DUTIES Accounting / Financial Reporting / Governance - Establishes and operates an efficient plan of financial record keeping and reporting; develops bookkeeping and spending procedures
- Oversees the church's accounting and financial reporting activities
- Works with the Accounting Manager to set, plan out, and implement financial policies and procedures for the church
- Works with Accounting Manager and other staff to plan, implement, and monitor the annual church budget; reports regularly on budget variances
- Works with Accounting Manager to continually improve efficiency and accuracy of financial record-keeping and reporting
- Approves requisitions and purchase orders within the authority and forwards to Financial Administrator for processing
- Works with financial institution concerning banking needs which includes financing of church debt and potential future debt or refinancing
- Assists in the preparation of annual board meeting, including determining agenda, collecting and organizing ministry/department presentations, and preparing all resolutions
- Participates in VFC board meetings presenting financial information and recording all meeting notes; finalizes all board meeting minutes in compliance with ECFA standards and guidelines.
Facilities and Campus Security Management - Supervises the maintenance of the building and grounds through the Facility Manager
- Updates and ensures compliance with policies and procedures concerning the use of church facilities
- Acts as contract liaison for events sponsored by outside vendors
- Develops and implements a long-range, capital plan for updating equipment and furnishings
- Conducts and organizes weekly brand walks through all campuses to ensure facilities are operating at VFC standards of excellence
- Provides vision and support to Security Director
- Annually reviews security SOPs and training credentials to ensure in compliance with all insurance and legal regulations
Insurance and Legal - Serves as resource person regarding legal and business matters of the church.
- Annually, studies the church’s insurance and recommends changes if needed
- Keeps the church properly insured in the areas of liability, Key Man, vehicles, umbrella, and workers compensation policies
- Reviews quarterly compliance of staff and Dream Team background checks per VFC policy
- Advises the Executive and Senior Pastor on legal requirements
- Works with attorney(s) as necessary concerning employment law and other legal matters relating to the church
Information Technology - Evaluates and manages outsourced IT Helpdesk relationship and service standards
- Strategizes with IT vendor on future church expansion needs and upgrades of current hardware and software solutions
- Leads implementation of IT solutions of all current and future campuses
- Regularly meets with Production/Technical Director to evaluate and prioritize worship center needs
- Develops and maintains IT inventory listings and hardware replacement plan for capital budgeting purposes
- Drives O365 integrations
- Continues development of SharePoint intranet site
Office Management - Supervises Office Manager
- Develops and implements a long-range, capital plan for updating equipment, furnishings, hardware, and software at all VFC campuses
- Manages office equipment contracts, including copiers, phone system, postage machine
- Continually evaluates equipment to ensure maximized use of capabilities
- Leads the staff in acquiring training in ministry and technical skills
Stewardship and Endowment Management - Works with the Executive Pastor - Expansion and DT leaders to enhance and administer the VFC legacy program
- Assists in coordination of Circle Group meetings that have a giving focus
Campus Expansion - Support Executive Pastor in developing and maintaining campus launch timelines
- Meet quarterly with Church Expansion and Executive Pastor to maintain current understanding of future expansion plans and provide operational insight
Dream Center 501(c)(3) - The Dream Center is a new, separate non-profit organization acting as an extension of VFC’s outreach ministry.
- The Church Administrator participates as an acting Board Member, serving in the office of Treasurer
- Responsible for monthly financial reporting of the organization, utilizing QuickBooks
- Filing annual 990s and donor statements as needed
- Assist in the development of ministry structure and filing organizing legal documents
Personal Development and Growth - Consistently spend time with God outside of church time
- Maintains a vital and growing personal walk with the Lord through committed Bible study, prayer, and meditation
- Attends meetings and trainings to continuously grow as a leader and as a person
- Listens to leadership podcasts
- Reads 4 books a year in the following categories: Spiritual Development, Ministry Specific, Leadership, and Personal Development
- Participates in a VFC small group, regularly attends VFC church services, and tithes to VFC
Miscellaneous - Complies with expectations in the Employee Handbook
- Fulfills the performance standards of the position and complies with policies, rules, and procedures of the church, including those communicated verbally or in writing
