The Business Manager is responsible for the day-to-day business activities of the church and provides direct supervision to the office staff. The Business Manager reports to the church Rector and is responsible for operations of the church outside of pastoral and worship areas which are managed by the Rector and Clergy. The Business Manager frequently acts as a backstop for the Rector, taking care of issues him/herself rather than escalating to the Rector. In a traditional corporate setting, the Business Manager would be equivalent to a Chief Operating Officer where the rector is the Chief Executive Officer of the church.In this role, the Business Manager must be able to provide a business and managerial perspective to a wide variety church decisions and processes. The ability to provide that perspective in a manner that is supportive of the church's mission and values, consistent with the Rector's position and non-threatening to church members, donors, employees and volunteers is critical to success in this positionResponsibilities•FINANCEoFinancial planning, budgeting, review of financial statements, managing cash flowsoManaging and overseeing cash and deposits, payroll and taxes, payables, year-end auditoAttend Finance Commission and Vestry meetings•HUMAN RESOURCESoProcessing all HR related activities including compensation, benefits and retirement plans for lay staff; and maintenance of clergy compensation calculusoAdministrator supervision of bookkeeper, sexton, receptionist, administrative assistant, communications specialist and all staff taking direction from Clergy•FACILITIES MANAGEMENToEnsure safe environment for church business and employeesoHandle all facility issues including vendor contracts, preventative maintenance processes and any minor or emergency issues oCoordinate with day school staff for facility needs/maintenanceoMaintain the facility room usage calendar; coordinate the set-up/breakdown for room use and any staff needs•OFFICE MANAGEMENT oEnsure computer systems are in working order and software properly licensedoManage confidentiality of materials and applications on church computer systemsoReview, update or produce procedures/policies for administrative tasksoHandle any office function requiring management attention•PARISHIONER SUPPORToReceive and handle most inbound (non-pastoral) requests from church membershipoUtilize the utmost discretion and confidentiality with any member inquiryRegular MeetingsThe Business Manager is expected to participate in meetings of these groups:•Vestry – monthly, after office hours. Attendance is mandatory•Finance Commission – monthly, after office hours. Attendance is mandatory•Any Commission meetings as necessary and when invited
QUALIFICATIONS•BS/BA in Finance/Accounting or equivalent experience. Experience with budgeting and payroll is essential•3+ years of preparing and managing a budget of at least $1 million•5+ years of general management and human resources experience•Experience working in a church or other faith-related setting is highly desirable•Knowledge and experience with ACS Technologies (church accounting software)REQUISITE SKILLS•Must be a self-starter--capable of initiating plans and working independently with minimal direction •Must be a player-coach. In addition to directing the activities of the administrative staff, the Business Manager takes direct responsibility for hands-on activities where confidentiality is critical (e.g. personnel files) or where adherence to legal or diocesan requirements is critical•Strong group facilitation skills--capable of influencing teams of volunteers without having any direct control or formal leadership position within the team•Strong presentation skills--able to explain financial reports and concepts to lay people•Strong interpersonal skills--able to represent the Rector in operational decisions and convey decisions (that may not be welcome) to members without giving offense•Good judgment to be effective. The Business Manager must be capable of making decisions at his level, seeking consensus or approval where necessary.•Must be well-organized. The Business Manager is often required to be the keeper of institutional memory for the church Vestry.•Must be flexible. The Business Manager must be available to members of the church and must ensure that they feel heard.
